They also want to see a quick return on investment. Vendors now are stepping up.<\/p>  <p>The time is ripe for small and mid-size businesses to adopt enterprise resource planning (ERP) applications, according to leading industry analysts.<\/p> <p>There are more options than ever among the crowded ERP-vendor field targeting the small and mid-size business sector. Those options are, in turn, growing more affordable. In addition, many small and mid-size businesses are in desperate need of an upgrade to sophisticated software that was once the purview of only larger corporations.<\/p> <p>&quot;Many small businesses have not upgraded their infrastructure since the Y2K cycle,&quot; says Albert Pang, research director of enterprise applications research for Framingham-Mass.-based IDC. &quot;Many of their systems need to be replaced.&quot; Companies looking to update their financial, human resources, project management, and procurement applications will find that their needs will be met by ERP offerings, Pang says.<\/p> <p><b>A field crowded with vendors<\/b><\/p> <p>The good news is that there are many new choices among ERP programs available to small and mid-size businesses, Pang says, with over 30 vendors in the field.  And those vendors are looking to small and mid-size businesses as their primary growth market. An August 2007 Forrester Research report forecast that the small business sector will be &quot;the most dynamic and innovative growth area&quot; for ERP sales over the next three to five years.<\/p> <p>If comparison shopping a 30-plus market of vendors seems overwhelming, consider that many vendors offer specialty products to certain sectors or verticals. For example, <a href=\"http://www.activant.com/\">Activant Solutions<\/a> specializes in offerings to distributors, <a href=\"http://www.csisoftware.com/\">Constellation Software Inc.<\/a> services club-membership-type businesses, and <a href=\"http://www.deltek.com/\">Deltek Inc.&#039;s products<\/a> target professional services providers.<\/p> <p>But ERP&#039;s largest players -- <a href=\"http://www.sap.com/\">SAP<\/a>, <a href=\"http://www.safesoftware.com/\">Sage Software<\/a>, <a href=\"http://www.oracle.com/\">Oracle<\/a>, and <a href=\"http://www.microsoft.com/\">Microsoft<\/a> -- have more generic offerings that are increasingly tailored to smaller businesses. For example, Oracle is offering fixed-scope products, such as E-Business Suite and JDEdwards Enterprise One. These can be up and running in days to weeks, not months to years like previous, enterprise-focused ERP applications, says Pang. That timetable is crucial for small businesses, which want and need to see a quick return on their technology investments.<\/p> <p>And while costs can vary widely according to a company&#039;s specific needs, the costs for more sophisticated software have really come down. &quot;In the past, many of these products would cost seven figures, but now, they are available for under &#036;100,000,&quot; says Pang. Stiff competition and the emergency of on-demand products available over the Web have contributed to this trend, he says.<\/p> <p><b>Custom, on-demand solutions<\/b><\/p> <p>Another option for smaller firms is to purchase generic solutions and customize them with help from a value-added reseller or consultant, explains Gary Chen, senior analyst and small and mid-size business specialist at Boston, Mass-based Yankee Group. A wide range of add-on modules is available to develop the perfect custom application for every company.<\/p> <p>Still another option is ERP on-demand products for smaller businesses, such as those offered by NetSuite and SAP Business ByDesign. The awards are not \n  a scientific study, but the voting results do offer an informal view into the \n  professional lives of tax and accounting professionals, their technology and \n  vendor preferences, and other insights. They are subjective in many instances, \n  and the loyalty of some professionals to particular vendors definitely comes \n  through in the results, but this is valuable information, as well, since it \n  helps to spotlight those technology companies who are keeping their users excited \n  about their products and vocally supportive, too. <\/p> <p> Voting for the awards was open to all professionals through this website during \n  October and early November. In addition to key technologies used in tax and \n  accounting firms, such as tax compliance, write-up, research and payroll programs, \n  the awards also go into the voter&#039;s preferences when it comes to client-side \n  accounting and management software. While these are programs that their clients \n  will use, most professionals have strong preferences as to which programs they&#039;d \n  recommend or prefer these clients run, whether driven by security concerns, \n  collaboration functions or data integration capabilities. Professionals \n      are realizing this more and more, too, resulting in an increase over last \n      year, with more than 40&#037; of all voters citing use of a tax planning program. \n      Among voters who chose one of the systems listed, Intuit&#039;s Lacerte \n      Tax Planner took a narrow lead over planning systems from BNA, CCH and Thomson \n      Reuters planner option.<\/td><\/tr><tr><td><strong>Tax &amp; Accounting Research Systems <br/> <\/strong><strong><a href=\"http://www.cpata.com/images/2009_dec/RC/4_Research.jpg\"><img src=\"http://www.cpata.com/images/2009_dec/RC/4t.jpg\" width=\"150\" align=\"left\" border=\"0\" height=\"195\"/><\/a>Insight<\/strong>: \n      Once upon a time, tax research involved a library of voluminous tomes of \n      tax law, rulings and other resources. Technology first dropped this down \n      to a few computer disks, then almost everything went online. It makes sense, \n      since the materials can be updated much more frequently (daily, even hourly \n      at times), it&#039;s more affordable, and practitioners don&#039;t have \n      to keep up with program updates or other tech issues. The last three or \n      four years has seen a lot of development and competition among the main \n      tax research vendors, Thomson Reuters, CCH and BNA, while Intuit&#039;s \n      TaxAlmanac.org, a free tax wiki (think Wikipedia), has also gained popularity. \n      With an abundance of subscription and even some reliable free options on \n      the market, many firms use multiple sources for research (and have favorites \n      for different topics), so readers were allowed to vote for more than one \n      product in this category.<\/td><\/tr><tr><td bgcolor=\"&#035;cccccc\"><strong>Estate Planning Systems<br/> <\/strong><strong><a href=\"http://www.cpata.com/images/2009_dec/RC/5_Estate.jpg\"><img src=\"http://www.cpata.com/images/2009_dec/RC/5t.jpg\" width=\"150\" align=\"left\" border=\"0\" height=\"182\"/><\/a>Insight<\/strong>: \n      Although this client service specialty is one that many tax and accounting \n      professionals refer to legal firms, there is a natural tie-in between the \n      various planning strategies involved with an individual&#039;s taxes, <a itxtdid=\"13712382\" target=\"_blank\" href=\"&#035;\" style=\"border-bottom: 0.075em solid darkgreen ! important; font-weight: normal ! important; font-size: 100&#037; ! important; text-decoration: underline ! important; padding-bottom: 1px ! important; color: darkgreen ! important; background-color: transparent ! important; background-image: none; padding-top: 0pt; padding-right: 0pt; padding-left: 0pt;\" classname=\"iAs\" class=\"iAs\">retirement<\/a> and estate/transition. Our voting reflects the general market, with only \n      about 20&#037; of professionals citing use of a specific estate planning program. \n      This is double the number from last year and shows a continuing growth in \n      the client service offering among accounting firms. The numbers above represent \n      the voting share of those who cited use of an estate planning system. <\/td><\/tr><tr><td><strong>1099/W-2 Compliance<br/> <\/strong><strong><a href=\"http://www.cpata.com/images/2009_dec/RC/6_1099.jpg\"><img src=\"http://www.cpata.com/images/2009_dec/RC/6t.jpg\" width=\"150\" align=\"left\" border=\"0\" height=\"135\"/><\/a>Insight<\/strong>: \n      The 1099/W-2 compliance market is a peculiar one that spans across payables \n      and payroll, which means the two processes exist in different accounting \n      spheres, affecting different processes and accounting spheres. For practitioners \n      managing either client payroll or wage and information reporting as an after-the-fact \n      service, this conundrum leads to the uniting of these separate functions, \n      after all, the federal-level compliance procedures are very similar and \n      happen at the same time each year. All of this has helped create a thriving \n      niche market, with professional users able to easily manage both processes \n      simultaneously, and resulting in the success of the many smaller companies \n      that have developed programs for the combined functions. As with income \n      tax compliance, the results of voting for this category do not represent \n      actual market share, but rather a very loyal user base for Advanced Micro \n      Solutions (AMS), who voted in large numbers. Another small tech vendor, \n      CFS Tax Software, came in second. Among other notable vote receivers were \n      CCH&#039;s Small Firm Services ATX, AccountantsWorld, 1099Express, 1099 \n      Pro and Greatland.<\/td><\/tr><tr><td bgcolor=\"&#035;cccccc\"> <strong>Sales &amp; Use Tax<br/> <\/strong><strong><a href=\"http://www.cpata.com/images/2009_dec/RC/7SalesUse.jpg\"><img src=\"http://www.cpata.com/images/2009_dec/RC/7t.jpg\" width=\"150\" align=\"left\" border=\"0\" height=\"125\"/><\/a>Insight<\/strong>: \n      Is there a market for professional sales tax compliance? Yes. How do you \n      define it? Well, that&#039;s a little more difficult. The answer is probably \n      that there are 44 or more markets in the United States for this function, \n      sometimes called &quot;state and local tax&quot; (SALT), because there \n      are 44 states with state-level sales tax requirements. Within the six states \n      that don&#039;t, many municipalities do. It&#039;s probably better to \n      say there are more than 8,000 markets for the software/service since that&#039;s \n      about how many sales taxing jurisdictions there are in total across our \n      country. The result is only a handful of programs that offer total sales \n      tax compliance across all jurisdictions, and many that offer compliance \n      for only a few states. The winner in this category this year is eFileSalesTax.com, \n      an online service for filing and paying California sales taxes, followed \n      by CFS, which provides compliance for California, New York and Florida.<\/td><\/tr><tr><td><strong>Write-Up<br/> <a href=\"http://www.cpata.com/images/2009_dec/RC/8_WriteUp.jpg\"><img src=\"http://www.cpata.com/images/2009_dec/RC/8t.jpg\" width=\"150\" align=\"left\" border=\"0\" height=\"134\"/><\/a>Insight<\/strong>: \n      Often a core service for accounting firms, how a write-up system works and \n      integrates with client bookkeeping applications can be a major factor in \n      productivity. Accountants have continued to move to QuickBooks Premier Accountant \n      Edition because of the simple fact that it offers seamless integration with \n      the data from their clients&#039; versions of QuickBooks, along with other \n      tools for collaboration and import into Intuit&#039;s tax preparation systems. \n      PCSAI&#039;s Client Write-Up system, Thomson Reuters Write-Up CS and AccountantsWorld&#039;s \n      Accounting Relief AC led the pack behind QuickBooks. When their votes are \n      combined, the ATX and TaxWise write-up packages from CCH Small Firm Services \n      also fared well.<\/td><\/tr><tr><td bgcolor=\"&#035;cccccc\"> <strong>Trial Balance<br/> <\/strong><strong><a href=\"http://www.cpata.com/images/2009_dec/RC/9_TrialBalance.jpg\"><img src=\"http://www.cpata.com/images/2009_dec/RC/9t.jpg\" width=\"150\" align=\"left\" border=\"0\" height=\"146\"/><\/a>Insight<\/strong>: \n      Providing a link between a business&#039; financials and their tax compliance, \n      trial balance is another important function, but one for which most accounting \n      firms do not use a specialized program. Of our voters, only 29 percent used \n      such a system. Of those who did, the Thomson Reuters Trial Balance CS package \n      received the most votes.<\/td><\/tr><tr><td><strong>Engagement Management<br/> <\/strong><strong><a href=\"http://www.cpata.com/images/2009_dec/RC/10_Engagement.jpg\"><img src=\"http://www.cpata.com/images/2009_dec/RC/10t.jpg\" width=\"150\" align=\"left\" border=\"0\" height=\"152\"/><\/a>Insight<\/strong>: \n      About 22&#037; of firms reported use of an engagement management system. The \n      programs continue to grow in popularity, helping firms increase their productivity \n      through optimized workpaper management and workflow functions. The Engagement \n      CS system from Thomson Reuters edged past CCH&#039;s ProSystem fx Engagement \n      in this year&#039;s voting, but the market is still dominated by those \n      two and CaseWare&#039;s Working Papers.<\/td><\/tr><tr><td bgcolor=\"&#035;cccccc\"><strong>Audit/Engagement Tools<br/> <a href=\"http://www.cpata.com/images/2009_dec/RC/11_Audit.jpg\"><img src=\"http://www.cpata.com/images/2009_dec/RC/11t.jpg\" width=\"150\" align=\"left\" border=\"0\" height=\"159\"/><\/a>Insight<\/strong>: \n      While generally a service of larger practices, firms that offer audit services \n      are looking for ways to streamline the intensive process. Capital Confirmation \n      won the category this year for its Confirmation.com service, which also \n      received a Tax &amp; Accounting Technology Innovation Award this past June. \n      Smart e-Practice Aids from Thomson Reuters came in second, with Audit Confirmations \n      following.<\/td><\/tr><tr><td> <p><strong>Payroll<br/> <\/strong><strong><a href=\"http://www.cpata.com/images/2009_dec/RC/12_Payroll.jpg\"><img src=\"http://www.cpata.com/images/2009_dec/RC/12t.jpg\" width=\"150\" align=\"left\" border=\"0\" height=\"150\"/><\/a>Insight<\/strong>: \n        Our largest category by far, the market for payroll technology and service \n        is booming, with more than 40 vendors vying for the small business and \n        professional accounting market. The A-T-F system from Advanced Micro Solutions \n        (AMS) received very vocal voting support from its users, drawing more \n        than a quarter of all votes cast. Intuit&#039;s QuickBooks Enhanced Payroll \n        for Accountants came in second, while the hosted Payroll Relief AC system \n        from AccountantsWorld, PayChex and PayCycle trailed behind. Unfortunately, about half of our voters still don&#039;t \n        use such a system. These \n  products have evolved over time from initially being somewhat crude and non-intuitive \n  to systems that are now much more user-friendly, flexible and capable of meeting \n  the needs of many firms. <\/p> <p> In my opinion, time and billing products have two distinct users, with very \n  different needs. The first user is the person entering time. This user is now \n  being served very well in the marketplace. Most, if not all, of the products \n  on the market today provide an intuitive time and expense data entry workflow. \n  The user that is not being served as well is the person responsible for billing \n  the client. <\/p> <p> A time and billing product must make it easy for the firm to create a bill \n  based on the specific needs of the firm. The billing process must be flexible \n  and allow the bill to be presented to the client in a timely manner. <\/p> <p> I have always been taught that cash is king. Getting bills out the door sooner \n  allows firms to collect cash sooner. Another reason for billing when services \n  are rendered is that it is easier to collect for your services. It is like fine \n  dining: you spend a lot of money on a nice dinner, have an extra glass of wine \n  and splurge on dessert. Once the meal is complete, the waiter brings the check \n  and you don&#039;t feel bad for spending the money on the meal because you \n  still have the satisfaction of the experience. Then you get your credit card \n  statement the following month and review your charges for accuracy and you gasp \n  at the amount you spent. The expense does not seem like such a good deal now. \n  The same goes for billing for services. Bill now, while the client has the satisfaction \n  of receiving your services, not 30 days later. <\/p> <p> In addition to looking at the very important billing processes of each of \n  these products, the following key areas will also be addressed:<\/p> <ul> <li><strong>Ease-of-Use <\/strong><\/li> <li><strong>Management Functions &amp; Reporting<\/strong><\/li> <li><strong> Billing Processes<\/strong><\/li> <li><strong> Integration<\/strong><\/li> <li><strong> Support &amp; Help<\/strong><\/li> <li><strong> Overall Value<\/strong><\/li> <\/ul> <p> As you will notice, there are many choices in the marketplace for time and \n  billing. And the Web, he says, provides a good fit for firms that have many offices. <\/p><p>&quot;For firms with multiple offices, it makes no sense running client software,&quot; he says<\/p><p>But for most of the this year, the major change to the BNA line has been something more traditional as the company has provided a third way of entering data into its fixed asset products. Previously, there was a data import and there was also a wizard that queried users about essential facts about fixed assets, such as when was purchased and the date of acquisition.<\/p><p>However, so many firms receive Excel spreadsheets from their clients that earlier this year, BNA Software implemented the Add Asset feature, that has the look of a spreadsheet and lists users cut and paste Excel spreadsheets into the BNA software. The system puts the data in the correct fields and if there is missing data, the software produces a message. <\/p><p class=\"MsoNormal\"><font color=\"&#035;339966\"><strong>Sage<\/strong><\/font> hasn&#039;t seen a big demand for SaaS versions of its FAS line, says <strong><font color=\"&#035;800000\">Kelly Clark<\/font><\/strong>, director of product management for the company&#039;s fixed asset products. Most customers are happy using Citrix or Windows Terminal Services to provide remote access to applications, while keeping the data under their control.<\/p><p class=\"MsoNormal\">Where the Web has come into play is the establishment of a FAS community site, similar to communities Sage has created for other products. That site offers screen shots and information on upcoming release so that users can weigh in on new product plans. <\/p><p class=\"MsoNormal\">This year&#039;s releases have offered the typical tax updates, but are also providing additional reporting tools. For example, there is an asset snap shot that enables users to produce graphical views of asset information. <\/p><p class=\"MsoNormal\">&quot;It shows different classes, you can get a look at spending you&#039;ve had over quarters and months,&quot; says Clark. A user could also produce a graph that shows the remaining life estimated for assets by years, such as those wife lives of more than 10 years, five to 10 and less than five. Additionally, the latest version uses Crystal Reports XI, which provides more ways to export data, along with more charts and graphs.<\/p><p><u><strong>Tips for Considering Fixed Asset Products <\/strong><\/u><\/p><p>What should firms look for in a fixed asset product? CPA Wayne Schulz, who has reviewed fixed asset applications over the last few years, has thoughts on the subject and provided a check list of features that he believes firms should consider. <\/p><p><font color=\"&#035;993300\"><strong><font color=\"&#035;ff6600\">Templates.<\/font> <\/strong><\/font>Most assets fall into a handful of categories such as furniture and fixtures, automobiles, office equipment and computer equipment. Because of the relatively small amount of assets, templates are helpful in such offices to make the data entry clerk&#039;s life easier when adding assets and this is especially true if someone else has to take over the chores. Templates can remember the life method and classification and let the user pick the proper configuration.<\/p><p><font color=\"&#035;ff6600\"><strong>Report Writing.<\/strong><\/font> General reports aren&#039;t much help. Those that are tailored to your needs, such as the group of detail or detail shown, are what you want and that means using a report writer. Industry Standards like Crystal Reports can provide the reports you need and you won&#039;t have to fall back on Excel or other ad hoc measures.<\/p><p><font color=\"&#035;ff6600\"><strong>Integration<\/strong>.<\/font> Private companies and public accounting practices have different needs because private organizations want to want to integrate the journal entries to the general ledger and perhaps even add assets from payables. These needs are different than those of a CPA firm who typically don&#039;t do either of hose and therefore wouldn&#039;t rate that features as highly on their &quot;must have&quot; Accounting firms want to have asset data transferred to tax preparation, working paper analysis and reporting software..<\/p><p><font color=\"&#035;ff6600\"><strong>Printing of tax fileable schedules.<\/strong><\/font> Being able to print forms from within the system for inclusion in the working papers eliminates the need to run copies of the tax forms when you return to the office.<\/p><p><font color=\"&#035;ff6600\"><strong>Support for Citrix/TS sessions.<\/strong> <\/font>In the mobile world of the modern professional, you need access from elsewhere. They weren&#039;t the only ones. SAP took a similar top slot. But then all the others Gartner looked at: Epicor, Lawson, Microsoft, Exact, Infor, Sage and Unit 4 Agresso scored &#039;positive.&#039; Odd you might think. Even odder, the remark made about Oracle:<\/p> <blockquote><p>Oracle scored below average in the reference survey, and was slightly above the bottom-rated vendor. Of the products, EBS fared best, followed by JDE. However, PeopleSoft fared worst in the reference survey, with below-average scores in all categories, which were significantly below average in the service and support category, primarily with regard to ease of upgrade and ease of applying patches.<\/p><\/blockquote> <p>And this about Sage:<\/p> <blockquote><p>Sage scored very well in the reference survey, being the highest-rated vendor overall. Sage&#039;s scores were above average in all categories, but were significantly above average in service and support, which is indicative of the strength of its partner channel and the close relationship these partners build with their clients.<\/p><\/blockquote> <p>I won&#039;t go into the nitty gritty of the report which was otherwise a reasonable thumbnail of each vendor but I don&#039;t understand how after how many years? it would seem Oracle has managed to mess it up with PeopleSoft. I recall the days when founder Dave Duffield (now founder of Workday) would proudly shout customer satisfaction numbers at user conferences and appear personally mortified if they were off even a 100 basis points.<\/p> <p>I&#039;m nothing like as close to PeopleSoft as I should be but I can only imagine that the emergence of the more nimble on-demand Talent Management category, exemplified by the likes of Taleo and SuccessFactors, has deflected attention from HR management and PeopleSoft financials in its wake. But I could be wrong.<\/p> <p>On Sage, I think the analyst is over emphasizing the role of the channel. The company has been working like crazy to ring fence its customers as the company watches license sales either flat line or fall. It emphasizes service at every turn as it tries to maintain or increase its support and maintenance charges for products that are beyond mature, they&#039;re ossifying. Following the last channel conference I heard rumblings about the lack of anything truly new to offer.<\/p> <p>One bright area in the report was an attempt to cover the on-demand/saas financial market. Due to the way Gartner defines the market, it was inevitably restricted to the likes of Intacct, Workday, NetSuite and Twinfield with an honorable mention for CODA2go and a passing mention of Exact and SAP Business ByDesign. The glaring omission was <a href=\"http://blogs.zdnet.com/Howlett/?p=1114\">Intuit which recently made some interesting moves into the open source space<\/a> and which is moving more and more to morph over to the on-demand space. The impression I got though was that Gartner is trying to figure out how to cover this segment.<\/p> <p>Color me cynical but right now, the likelihood of Gartner drawing any significant revenue from the on-demand players is almost nil. Several vendors have contacted me recently complaining at the &#036;25,000 to &#036;40,000 &#039;entrance fee&#039; which for many of these players is a tax too far. Some are withdrawing subscriptions altogether. This is a pity.<\/p> <p>Nigel Rayner, the lead analyst for the report has been in and around financial applications for as many years as I can remember. He knows the on-prem market inside out and is an ace on business intelligence. I do sense though that on-demand is proving a tad more challenging. There wasn&#039;t a lot of &#039;bite&#039; around his on-demand analysis. Perhaps he was putting a stake in the ground.<\/p> <p>We&#039;re in the very early days of growth and while the companies he has covered are all doing well, it ignores many I know that are thriving, albeit in the SME market. <a href=\"http://www.freshbooks.com\">FreshBooks<\/a> counts more than 800,000 sign ups, <a href=\"http://www.accmanpro.com/2009/07/28/highlights-from-xeros-agm/\">Xero has 10,000 paying customers<\/a>, 4,000 of which are in the UK where it had none two years ago and represents 1000&#037; growth since March 2008. My old start up FreeAgent has just had a <a href=\"http://nytimes.com/external/gigaom/2009/08/14/14gigaom-the-future-of-work-the-freelancer-report-2009-26225.html\">nice write up in the New York Times via GigaOM<\/a> on its analysis of the freelance market in which it specializes. <a href=\"http://www.kashflow.com\">KashFlow<\/a> has a potent one man marketing machine that is driving tremendous growth. Still others are emerging almost on a monthly basis. They&#039;re all playing in the SME space today where revenue is much harder to earn, but the vibrancy of this market should not be under estimated.<\/p> <p>They won&#039;t be consulting with Gartner - at least not for the foreseeable future - but they should not be ignored. Instead, we should recognize they are attacking the SME incumbents indirectly while filling a much needed space just a little further up the food chain. This time next year, that landscape will look very different again.<\/p> <p>Before closing out, I should throw a bone to my friend <a href=\"http://dealarchitect.typepad.com\">Vinnie<\/a>. At the top of the report, Nigel says:<\/p> <blockquote><p>This is a mature and established market. The functionality of modules, such as GL and AP, has been developed during the past 25 years and will remain largely unchanged in the future.
