Though there are encouraging signs that the soggy conditions dampening the economy for the last couple of years have started to recede, contractors-like most other small businesses-are still cautious, and with good reason. <br/> <br/> <strong>THE END IS NEAR(ER) <\/strong><br/> In March 2010, Sage North America conducted a survey of 1,000 small to mid-size business owners, including a number of construction firms. While businesses were more optimistic-29 percent believed the economy would improve in the next 6 months, up from 24 percent in May 2009-roughly 40 percent still think that the economy will take at least 12 months to improve, virtually unchanged since the year before. Despite glimmerings of optimism, the percentage of people who believe the economy will improve in the next 6 to 12 months is down 5 percent from 2009 to 2010, indicating that many companies aren&#039;t sensing improvement fast enough. <br/> <br/> <strong>DOING MUCH MORE WITH MUCH LESS<\/strong><br/> Faced with the challenge of managing with leaner staff, tighter budgets, less room for error, and fewer resources means that the systems firms use to automate and manage internal processes and financial management need to run flawlessly, providing easy access and control of key data at all times. <br/> Contractors need to ensure that their projects and jobs are as profitable as possible, and that their financial management system facilitates this process. To ensure accuracy and peace of mind when it comes to managing jobs, contractors are tracking profitability at a detailed level-even down to phases and cost codes. There are software packages which offer a customizable financial management system that enables contractors to assign budgets and actuals at these levels, enabling them to focus on the running of the business and make smart management decisions for improved profitability. <br/> Three-fifths (60 percent) of respondents in the recent Sage survey reported that they are monitoring finances more closely, making sure they are maximizing ROI (return on investment), monitoring cash flow, and staying on track as best they can. The survey also found that 40 percent are reducing capital expenditures, putting off large purchases or investing in infrastructure, facilities, and other big-ticket items if they can help it. Not surprisingly, in an environment in which access to capital is scarce, reduction of expenditures is critical for survival. <br/> <br/> <strong>FLEXIBILITY IS KEY <\/strong><br/> Every job is unique. Every project has different terms, reporting requirements, and change orders. Because of this, all projects have great potential for headaches and lost profits if not managed appropriately, so contractors need to ensure that their financial management systems do the tracking for them, helping to eliminate potential for errors, missed opportunities, and the resulting hidden costs. <br/> Of the survey respondents, 35 percent stated that they have reduced their staff in the past 6 months in order to stay competitive. Headcount reduction usually means that the back office takes a hit, and reduced headcount and an inadequate financial management system in place can create potential bottlenecks for areas such as invoicing and job reporting. Perhaps worse: critical business information has to be entered multiple times just to stay current. <br/> Contractors should seek software which adds efficient processes by making it quick and easy to enter job information, putting it all in one place for the whole company to access via interactive dashboard functionality. The right financial management system can make all the difference in the world, helping contractors to avoid the possible pitfalls of getting mired in minutiae, drowning in paperwork and potentially losing to competitors due to inconsistent record keeping, lack of data, and missing or incorrect information. <br/> <br/> <strong>STIMULUS FUNDS <\/strong><br/> There has been a great deal of buzz in the media about the availability of stimulus funding, and certainly there will be opportunities for contractors to take advantage of some of that as it is being released for government projects nationwide. Federal Business Opportunities (www.FedBizOpps.gov) is the source for all stimulus-funded opportunities across all agencies, and a great resource for contractors seeking stimulus project work. <br/> The Administration also recently announced a wave of stimulus activities geared toward nurturing small businesses, many of which center around providing incentives for increased hiring and jobs creation in the small business sector. When questioned about those proposals in the Sage survey, however, the majority of small firms who participated suggested that any government efforts and money put toward supporting small to mid-size businesses would be better utilized focusing on stimulating general economic activity. <br/> Many respondents suggested that tax cuts or access to credit would be far more beneficial in stimulating business, which would justify hiring additional employees to staff for additional growth. Overwhelmingly, respondents suggested that if their firms didn&#039;t see increased business, they wouldn&#039;t need additional employees, so the proposals offering hiring incentives weren&#039;t at all helpful. <br/> When and how the economy fully turns around remains to be seen. But whatever the economic climate, it&#039;s important for contractors to have the best tools on hand to maximize opportunities and get ahead. Peachtree was &quot;real&quot; double-entry accounting, and QuickBooks was the very successful Quicken home finance program bulked up to meet the needs of a typical small or micro-business.<\/p><p>That distinction isn&#039;t so easy to make these days. Over the years, and many iterations and upgrades, the two applications are more alike than different. Still, Peachtree&#039;s lineup, especially at the higher end where Premium Accounting resides, is somewhat more accounting-oriented than QuickBooks. Not a lot, but features like extended inventory costing that offers LIFO, FIFO, weighted average, and specific cost, tend to make Peachtree just a bit more attractive to financial professionals such as accountants and controllers. And a fair number of Peachtree users are larger entities, which use Peachtree Accounting for divisional or branch accounting.<\/p><p>It&#039;s difficult to think of Premium Accounting as entry-level. While an enterprise-level company probably wouldn&#039;t feel comfortable having Peachtree Premium Accounting as its central accounting system, the application is functionally capable of being used at this level if the enterprise chart of accounts account numbering will fit within Premium Accounting&#039;s COA mask. The review copy of Premium Accounting that we tested used Pervasive Software&#039;s PSQL database as its underlying platform. Theoretically, at least, PSQL is capable of scaling up to an enterprise level, though even Peachtree&#039;s Quantum Edition doesn&#039;t make this claim. Compatibility with Crystal Reports gives an experienced developer the ability to extensively extend Premium Accounting&#039;s already powerful reporting and report customization.<\/p><p>Consolidations, not usually required in most smaller businesses, are available if required. And industry-specific editions for construction, manufacturing, distribution and nonprofits are available for your clients in these businesses, as are less expensive editions with fewer functions for clients that don&#039;t require all of the features of Premium Accounting. Peachtree&#039;s high-end Quantum Edition can support as many as 30 simultaneous users - more than is usually found in a typical small business.<\/p><p>One area where Peachtree Premium Accounting can definitely be considered entry-level is in its installation and set-up. Installing any application that requires SQL can sometimes be a horror, but Premium Accounting&#039;s installation takes care of the details and requires no user input other than where you want the software installed. With wizards to walk your client through installation and set-up and configuration, many of your clients will be capable of doing the install themselves, though a large number of them will want you to do fine-tuning.<\/p><\/div><\/span><\/div><table id='zwNextPrev' width='100%'><tr><td style='text-align: left;' align='left'>&lt;&lt; According to the report, leading companies are employing electronic payments and process automation to streamline and accelerate finance processes, reduce operating costs, and improve visibility, control, and efficiency to provide a foundation for increased profits.<\/p> <p>&quot;Despite the reign of the paper check and manual-based processes in business-to-business transactions in the U.S. and many parts of the world, economic and efficiency gains from automating the financial supply chain-from invoicing through payment settlement-are key motivators for demand and supply to align,&quot; said Nasreen Quibria, senior analyst at Aberdeen and author of the report. &quot;While the adoption of electronic payment vehicles requires businesses to alter their payment behavior and restructure their financial processes, companies that can make the shift will gain competitive advantage.&quot;<\/p> <p>Reflecting the unpredictable economic conditions of the past year, Aberdeen found that companies are focused on maximizing cash flow and taking a holistic approach to transactions-examining the flow of funds into Accounts Receivable (AR), and outflow of funds from Accounts Payable (AP).<\/p> <p>In its survey of more than 160 companies worldwide, Aberdeen found that businesses adopting electronic channels have been able to achieve a 16&#037; decrease in accounts receivable (AR) processing cost, and a 14&#037; decrease in accounts payable (AP) costs year over year.<\/p> <p>&quot;Aberdeen&#039;s report shows the value that systems interoperability with electronic payment networks has for both buyers and suppliers,&quot; said Greg Hammermaster, president of Sage Payment Solutions, the payments division for Sage North America. &quot;We believe this interoperability is critical toward achieving three major payments objectives for every business: improving cash flow, reducing costs, and maximizing the utility of their ERP environment.&quot;<\/p> <p>The Aberdeen survey identified two main pressures creating the need for improved payments processing:<\/p> <ul> <li>Corporate mandate to reduce overall payment transaction costs, such as staff and processing (65&#037;); At the same time, 39&#037; of best-in-class companies identify a lack of integration between electronic payments and accounting systems as a barrier to increased electronic payments.<\/p> <p>Last month, Sage introduced Sage Exchange, a new secure, Payment Application Data Security Standard (PA-DSS) certified payment platform that will allow businesses and organizations to accept all forms and methods of payment, with seamless data integration to a wide range of Sage business management software products and third-party business solutions. Seamless integration between payment applications and back-office software can improve an organization&#039;s cash flow and forecasting, while eliminating manual data entry and the risk of errors.<\/p> <p>&quot;Integrating electronic payment networks with back office ERP systems is a challenge faced by all businesses,&quot; added Hammermaster. &quot;Sage Exchange overcomes this challenge by tightly integrating Sage&#039;s accounting and ERP solutions, on both the AR and AP sides, with the most widely used electronic payment networks, including credit and debit cards, electronic check, ACH, and even private label networks. While electronic payments data integration is the foundation, exponential value will be gained through a suite of connected services focused on streamlining the financial supply chain. Prior to Sage, Miller worked at Microsoft for eight years. Reflecting back over year one, Miller said he&#039;s &quot;pleased&quot; with the progress the company&#039;s made with its channel thus far. <\/p><p>&quot;I&#039;m pleased with the progress we&#039;ve made but I think we still have a lot of work to do.&quot; Miller said. &quot;We need to make sure we have the right sets of programs for our partners and help them find new customers and opportunities. We also have to get communications out to our partners and provide training so we&#039;re all partner-ready. I&#039;m confident that we can get there, but it&#039;s an evolving work in progress.&quot; <\/p><p>Among some of the new partner offerings are four workshops around sales, consulting, customer experience and business strategy. <\/p><p>Miller said when he joined Sage last summer and had a look at the existing programs, one of the improvements he wanted to make was increasing the number of partners participating in them. <\/p><p>&quot;We found that some of these programs were too expensive from a time and out-of-pocket standpoint,&quot; Miller explained. &quot;Partners also wanted a more condensed version that was offered closer to home.&quot; <\/p><p>To give partners more of what they wanted, Miller said Sage introduced its sales, consulting and customer experience workshops. The sales workshop is a free, one-day intensive selling workshop to help partners improve on their sales performance. The consulting workshop, which is also free, is designed to help partners further develop their business and consulting skills.
